As the Office Administrator, you will be responsible for overseeing the day-to-day operations of the office and ensuring all administrative functions run smoothly and efficiently. Acting as the primary point of contact for the Japan office, you will welcome visitors, handle inbound calls, coordinate schedules for the sales team and Country Manager, and manage general office administration. You will also support HR-related activities, including preparing employment contracts, collecting employee documentation, coordinating stamping procedures, and maintaining accurate records. In addition, you will liaise closely with the Malaysia office and overseas headquarters to ensure timely communication and the proper handling of business documents and administrative processes. While most accounting functions are managed by the regional finance team, you will assist with invoice processing, expense documentation, and other local financial administrative tasks as needed.

Job Description

  • Responsibilities
    - Handle the daily operations of the office, including answering incoming phone calls, welcoming guests, managing correspondence, and ensuring the office runs efficiently on a day-to-day basis.
    - Support HR and administrative functions by preparing, collecting, and organizing onboarding documentation, coordinating employment-related paperwork, and sending and receiving documents between the Japan office, U.S. headquarters, and other overseas offices.
    - Maintain office supplies, filing systems, and company records, ensuring important documents are properly organized, accessible, and up to date at all times.
    - Provide administrative support to the sales team by coordinating schedules, preparing documents, arranging meetings, and ensuring the office is ready to support staff as they travel to and from customer visits.
    - Act as a liaison between the Japan office and regional/global teams, assisting with document submissions, approvals, and other administrative requests.
    - Support basic finance and accounting administration, including invoice handling, expense documentation, and coordination with the regional finance team when required.
  • Requirements
    - Ability to speak conversational English and Fluent Japanese
    - Understanding of Japanese contracts and process
    - Ability to manage/run an office
    - Able to meet deadlines, prioritize task and stay organized
