A major automotive supplier of technologies such as lighting, electronics, sensors and autonomous driving systems.
This position is responsible for supporting a wide range of corporate administration functions to ensure the smooth operation of the Japan office. The role covers office management, travel coordination, facilities, logistics, health & safety, IT support, and general administrative activities, while collaborating with global teams and external vendors. Business-level English will be used regularly when coordinating with international stakeholders.

- Responsibilities
- Coordinate domestic and international business travel arrangements and provide support for expatriate and inpatriate employees.
Manage office operations, including facility management, workspace planning, equipment management, office relocation, and renovation projects.
Coordinate shipping, logistics, and procurement of office supplies and related materials.
Support occupational health and safety (OHS), fire prevention, emergency preparedness, Business Continuity Planning (BCP), and company insurance administration.
Provide basic IT support for PCs, mobile devices, and office equipment in collaboration with the global IT team.
Support legal and compliance-related administrative activities.
Collaborate with global teams and external vendors to ensure efficient office operations and continuous process improvements.
Perform executive and administrative support for the Managing Director and management team as required (less than 10% of the role), including calendar management, travel coordination, document preparation, reception duties, and onboarding support.

- Requirements
- Bachelor's degree in Business Administration, Management, or a related field.
3–5 years of experience in office administration, office management, or general affairs.
Business-level English communication skills (written and spoken).
Strong organizational, multitasking, and prioritization skills.
Excellent interpersonal and communication skills.
Proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook).
Proactive, detail-oriented, and able to handle confidential information with professionalism.

- Experience in facility management, workplace safety, or corporate compliance.
Experience coordinating expatriate support and international business travel.
Project coordination experience, such as office relocation or facility improvement projects.
Experience providing executive support to senior management (e.g., Managing Director or Directors).
Basic knowledge of IT equipment and office systems.
Experience working in a multinational or global organization.
Japanese language proficiency.
