The organization is seeking an Office Administrator to manage the day-to-day operations of its Tokyo office. This position is key to maintaining a safe, secure, and efficient work environment for employees while also supporting a range of administrative needs across General Affairs, Human Resources, Finance, and Sales functions. Job Description

  • Responsibilities
    - Manage access control and security procedures (e.g., registering newcomers, issuing access cards).

    - Oversee office supplies and inventory (stationery, beverages, marketing materials).

    - Liaise with vendors for cleaning, decoration, maintenance, and other facility-related services.

    - Raise purchase requests in SAP, coordinate deliveries, and process payment approvals.

    - Maintain updated records of company registration documents and certificates.

    - Handle incoming and outgoing mail, couriers, and publications.

    - Update and manage office notice boards and digital communication displays.

    - Support planning and execution of internal company events, CSR activities, and safety initiatives.

    - Coordinate logistics for VIP visits, including transportation and hospitality.

    - Arrange taxis, restaurant reservations, and supplies for meetings and events.

    - Manage and publish the company's internal monthly newsletter.

    - Provide general administrative support including scheduling, documentation, and internal communications.

    - Handle other duties as assigned by reporting managers.

    - Assist employees with travel arrangements (e.g., visa coordination, insurance support).

    - Support event logistics for meetings, departmental activities, and guest visits.

    - Handle mainline telephone reception and incoming inquiries.

    - Ensure quality, safety, and environmental standards are adhered to within areas of responsibility.

    - Contribute to ongoing improvements in the company's processes.
  • Requirements
    Experience as an Administrative Assistant or General Affairs staff.

    Prior experience in an international or multicultural environment is strongly

    Native-level Japanese and strong English communication skills.

    Proficient in Microsoft Office (Excel, Word, PowerPoint).

    Highly Highly organized, detail-oriented, and able to work independently.
